Your role in the story

Together with your team, you are responsible for the support of the commercial and project teams and the quality and control of commercial and project documentation. You will record and control all documentation, both internal and external, using Microsoft SharePoint and the clients' EDMS systems for multiple projects. You will maintain files of contractual documentation to meet client's requirements for inclusion in final documentation packages. You will support the business unit with secretarial/administration tasks. Your daily tasks and responsibilities include the following:

  • Timely processing of documents and correspondence in MS Outlook and SharePoint;
  • Maintaining an up to date and complete DMS: organize, execute and/or arrange document control, filing and archiving; 
  • Liaise with project team members, clients and subcontractors / vendors;
  • Set up and maintain tender and project related files;
  • Organize travel arrangements and required outcome (visa, forms etc.), host visitors;
  • Requisition processing, receiving invoices, goods and services in SAP and Infor;
  • Assist and guide personnel in the utilization of the document control system and process;
  • Produce a compilation of final documentation packages to meet specific client requirements;
  • Archive all tender and project documents.

Who will you work with?

As Department Secretary / Document Controller you will support the Business Unit Transport and Installation. You will work in a team of 5-6 team members, supporting multiple projects and project teams across the unit.

Is this the job for you?

For this function the ideal candidate possesses the following qualities:

  • Minimum vocational (MBO-4) thinking level;
  • Good command of the English (written and spoken);
  • Proactive, communicative, conscientious and accurate;
  • Knowledge of MS Office (MS SharePoint is a plus);
  • Minimum 0-2 years administrative work experience.
